We are a well-established voice in the community with more than 115 sites, over seven hundred employees, and 40 years’ experience.

We are seeking a Program Management Specialist to join our HOPWA program! Work schedule is Monday through Friday 8 AM to 5 PM.

Working as a Program Management Specialist, you will be responsible for a variety of support functions within the HOPWA Department including a working knowledge of Microsoft Office skills including Word, Excel, Publisher and PowerPoint. Demonstrates continuous effort to improve operations, decrease turnaround times, streamline processes, and work cooperatively and jointly to provide quality seamless customer service.

Responsibilities:

  • Functions as a lead for staff in conjunction with the Program Coordinator
  • Will provide administrative support to the Program Coordinator and Housing Specialists
  • Develops or assists with the development of marketing materials for the HOPWA Program including Aunt Rita’s Foundation Grant compliance
  • Research and assist in the development of new training modules as identified by the Program Coordinator
  • Monitor HOPWA data tracking log, and HMIS compliance
  • Conduct monthly random audits of housing files
  • Contacts potential residents to update information and assess housing need; schedules intake appointments
  • Assist and participates with fundraising efforts
  • Processes, receives, sorts & distributes a variety of correspondence
  • Responds to requests for information from the general public and answers routine questions
  • Responsible for office supply inventory
  • Posts and processes rental payments daily
  • Enters information into HMIS, HDS and Excel spreadsheets
  • Preps files for retention at the end of each FY
  • Assists with site inspections and coordination of notices to residents.
  • Assists in the tracking, updating and managing waitlist files.
  • Works with all HOPWA sites for HDS compliance; Rent collections and resolution.
  • Assists with tracking discharge and closure in HMIS record.
  • Track orders, receiving, and submit receipts to accounting.
  • Coordinates and organizes special events per assignment.
  • Performs general clerical duties as requested/assigned by Supervisor.

Requirements:

  • Minimum requirement consists of a 21-year age
  • A bachelor’s degree (related or non-related) in the behavioral health field plus one years of housing experience in behavioral health
  • An equivalent combination of education and experience directly related to behavioral health totaling four years is acceptable.
  • Required to maintain a valid Arizona driver’s license and pass motor vehicle screening for insurance purposes in order to transport clients, based upon need/requirements of the clinic and/or program.
  • Must have fingerprint clearance issued by the Arizona Department of Public Safety or be eligible to receive within eight (8) weeks of hire
  • Requires demonstrated advanced clerical skills.
  • Must be able to perform data entry and be computer literate.
  • Must be able to organize own workflow with particular skill in handling details.
  • Requires prior administrative clerical experience with preferably in a behavioral health setting. Consideration given for course work in lieu of part of the experience requirements.
