Southwest Behavioral and Health Services is seeking a dedicated and detail-oriented Payroll Administrator. Job Preview at a Glance:

The Payroll Administrator is responsible for overseeing Payroll systems to achieve alignment with Finance, People Experience (HR), Benefits and other related entities to ensure effective accounting support. This position reports to an Accounting Manager and works together with a Payroll Coordinator.

 Location & Schedule:

Monday- Friday (hybrid schedule) reporting to our Administration Building located on 3rd St. and Osborne. 

Pay: This is an exempt position, starting salary at $80k 

Duties & Responsibilities:

  • Leads processing, organizing, and management of biweekly payroll including ensuring all timesheets are approved, status changes updated, import files are complete, accurate, and uploaded, and results are reported timely.
  • Supervises & trains payroll staff for all required payroll processes.  
  • Maintains payroll-related areas of UKG/WFR including but not limited to setting up/troubleshooting: earnings and deductions codes, project codes, site locations/work-in sites, tax jurisdictions, GL Rules, GL Segment Sequences, General Ledger issues, Suspense items, and the like.
  • Prepares, or oversees the process for preparing, biweekly/monthly payroll journal entries, payroll accruals, and payroll adjustments for the monthly financial statements within a strict and demanding time period.
  • Responsible for analyzing and monitoring all payroll liability general ledger accounts on a quarterly basis. Produces general ledger journals when appropriate.
  • Responsible for all reporting to management including but not limited to: biweekly payroll summaries, scorecard, wages report and OT report.
  • Ensures all monthly, quarterly, and annual payroll reports are complete and reconciled with any necessary adjustments made within the quarter (941, Balancing payroll reports, tax reports, etc.)
  • Ensures all transmissions/reporting are accurate and done timely including: ACH Files, Check Registers to the bank, 403B, HSA, etc.
  • Oversees manual payroll checks, including salary advances, preparation, pickup, and distribution.
  • Oversees payroll check voids and overpayments/collections and makes necessary adjustments on the tax payments.
  • Manages legal documents processing pertaining to: Federal and State Levies, Child Support payments, and Writ of Garnishment.
  • Oversees insurance and mileage reimbursement process.
  • Problem solves payroll issues with multi-level staff, PE , and external agencies such as law practices and government offices.
  • Monitors all employee deductions.
  • Coordinates with PE for Payroll’s part of year-end duties including preparation of W-2’s, reviewing payroll-related reports/areas, etc.
  • Manages Payroll’s portion of all audits including for Workers’ Comp, financial statements, 403B, and various payor-related audits.
  • Manages Payroll’s portion of 990 tax package preparation.

Education & Qualifications:

  • Five years with increasing responsibility in computerized bookkeeping or accounting, preferably in behavioral health or hospital setting. Consideration is given for college accounting studies in lieu of experience
  • Two years of supervisory experience required
  • Two years of UKG/UltiPro experience required
