Job Description

Southwest Behavioral & Health Services is seeking a Facilities Specialist! The position will be working Monday through Friday at SB&H Admin building located off of 3rd St. and Osborn. This position accurately and consistently, receives, reviews, enters, and tracks the completion of work orders using databases and spreadsheets.  Routinely will contact property managers, maintenance staff and vendors to request work to be performed at residential and business locations. 

Schedule/Location: The position will be working Monday through Friday 6:30am to 3:30pm at SB&H Admin building located off of 3rd St. and Osborn.

Pay: Pay rate starts at $20.00 per hour.

About the Position

Under general supervision this position accurately and consistently, receives, reviews, enters, and tracks the completion of work orders using databases and spreadsheets. Routinely will contact maintenance staff & vendors to request work to be performed at residential and business locations. Creates requisitions and purchase orders for vendor invoicing when assigned. Works with Facilities Project Coordinator to obtain quotes for monthly/yearly services from established and new service providers as needed. 

Duties & Responsibilities

  • Provide general clerical support to Facilities & Purchasing as needed.
  • Perform facility inspections as required.
  • Contact vendors when discrepancies in billing arise.Create facility tickets for outsourced service calls in JIRA system.
  • Assist with service vendor quotes and obtains appropriate approvals when needed.
  • Maintain and replenish inventory as needed.
  • Sorts mailroom packaging and preps for courier delivery to SBH sites (Daily).
  • Process biohazard removal requests.
  • Contacts vendors for recycling program and waste management.
  • Assist with fiscal year end tasks as assigned by facilities and purchasing.
  • Cross train in all function of the purchasing and facilities departments.
  • Maintain SDS information and books for Risk Management.
  • Assist with facility moves.
  • Receives and handles work orders and telephone requests for properties through complete process, managing both owned and leased facilities.
  • Notifies property managers about requested work via email, fax, or telephone.
  • Routinely contacts property managers, maintenance & vendors to verify requested work has been completed.
  • Visit sites to confirm completion of repair upon request of Facilities Supervisor for critical & problem jobs.
  • Generates reports as requested.
  • Option for On-call for emergency situations 24 hours a day/7 day a week.
  • To ensure compliance & adequate services, additional job duties may be required to meet the needs of the program and or department.

Minimum Requirements 

  • High School Diploma plus (3) three years office experience and some experience in a facilities setting.
